Limitations, fixed / Shopify B2B sales rep tooling, fixed

Shopify B2B sales rep tooling, fixed.

Native Shopify gives reps a scoped admin view and draft orders, and stops there. The Sales Rep Toolkit puts reps inside the buyer's cart, scoped to their territory, with every action on the record.

TL;DR

Shopify B2B has no native login as customer, no territories, and no unified rep audit trail: sales reps get scoped admin access on exactly four pages and place orders through draft orders. The B2B Supercharge Sales Rep Toolkit adds secure buyer impersonation, rep-built carts with shareable IDs, territory scoping, and a full audit trail on top of native Shopify B2B.

Shopify built its B2B sales rep support around one idea: the rep is a staff member inside the Shopify admin. That decision shapes everything on this page. Reps never touch the storefront, assignment is a manual mapping, and the audit record lives in fragments. Here is exactly what a rep can and cannot do on native Shopify B2B, with citations, and how the Sales Rep Toolkit module closes the gaps.

What can sales reps do natively on Shopify B2B?

Shopify documents a real sales staff setup: limited admin access that lets reps place orders and view account information for their assigned customers, available on all plans. The table below separates what ships from what does not.

Territories and assignment rulesNOT NATIVEShopify's docs contain no territory concept, no auto-assignment rules, and no quota or commission tracking.
Rep-filtered reportingNOT NATIVEAnalytics, Marketing, and Home show unfiltered store-wide data. Shopify's own docs warn against granting them to reps.
Unified rep audit trailNOT NATIVEActivity is split across per-order Timelines, a capped store activity log, and a login-history log. None of it consolidates per rep.

Why can't a rep log in as a customer on Shopify?

Because the feature does not exist. Shopify's B2B sign-in documentation describes one path into the storefront: the buyer enters the email address associated with a company location and a one-time PIN sent to that email. No password, and no staff-side equivalent. The sales staff documentation keeps the entire rep workflow inside the admin.

Shopify documentation does not state the consequence outright, but it follows from the absence: nothing in the documented feature set lets a rep view the storefront through a specific buyer's eyes, with that buyer's catalog and contextual pricing, or build a cart inside the buyer's own account. The nearest native tool is the draft order, which lives in the admin and produces an invoice, not a cart the buyer can pick up. An entire category of third-party App Store apps exists specifically to add customer impersonation.

What else is missing for sales reps?

Assignment is a manual map, not a territory

Rep assignment is per company location, one location at a time or in bulk, with a documented cap of 10 sales staff per location. Shopify's documentation contains no concept of territories, regions, round-robin assignment, quotas, or commissions. If your reps carry a geographic book, you maintain that mapping by hand, location by location.

Scoping is four pages deep

Location restriction applies only to the Customers, Orders, Draft orders, and Companies pages, per Shopify's staff permissions documentation. The sales staff documentation states that all other admin pages do not restrict information by company or company location, and explicitly recommends withholding Analytics, Marketing, and Home from reps because those pages expose sales data for the whole store. The practical result: there is no native rep-filtered reporting, and giving a rep any analytics access means giving them everything.

The audit record is in fragments

Rep actions are logged, but nowhere together. Each order and draft order carries its own Timeline. The store activity log covers admin actions but displays a maximum of 250 results, is view-only, cannot be exported, and does not cover order or draft order actions. The login history shows only the 5 most recent sessions per user. And the paper trail itself expires: draft orders created on or after April 1, 2025 are automatically deleted after 1 year of inactivity. There is no unified, exportable record of who did what in which account.

How does the Sales Rep Toolkit fix rep tooling?

The Sales Rep Toolkit is the B2B Supercharge module built for exactly this gap: your reps, inside the buyer's cart, with an audit trail.

Login as customer, on the record

Secure impersonation: reps see exactly what the buyer sees and build on their behalf. Sessions run under explicit policies, for example build cart but no checkout, and end with an explicit end-session action. Every action in the session is logged.

Every cart has an ID

Reps build and edit carts, attach notes, and hand carts back to buyers as links. The cart resumes in the buyer's own account, so the rep does the assembly and the buyer keeps control of the purchase.

Reps see their book, nothing else

Accounts are scoped by territory and assignment. A rep covering the Northeast sees Northeast accounts; out-of-territory accounts are not visible. No more maintaining a manual per-location mapping as your roster changes.

One audit trail

Every impersonation session produces a time-stamped trail: cart opened, SKU added, quantity edited, link shared. Compliance and account questions get answered from one record instead of three partial logs.

The Sales Rep Toolkit is one of five B2B Supercharge modules. The base platform is free and every module switches on independently, so you can start with rep tooling and add the rest at your own pace. It installs as a Shopify app: your team works in the admin they already know, and your buyers stay in the customer account they already log into.

Where does this fit in the bigger picture?

Rep tooling is one of the documented gaps in native Shopify B2B. The full list, with citations, lives in the Constraints Ledger. Two neighbors matter most to sales teams: quoting, since draft orders are the only native quote-like flow, and order search and reporting, since reps and buyers both need history they can actually query. For the native draft order mechanics themselves, see B2B checkout and draft orders.

Frequently asked questions

Can Shopify sales reps log in as a B2B customer?

Not natively. B2B buyers sign in with their email and a one-time PIN, and the documented rep workflow lives entirely in the Shopify admin. The Sales Rep Toolkit adds secure login as customer with session policies and full action logging.

How do sales reps place orders for B2B customers on native Shopify?

Through draft orders in the admin: the rep attaches the purchasing company, location, and contact, adds lines at custom or contract prices, then sends an invoice with a secure checkout link. Note that draft orders created on or after April 1, 2025 are deleted after 1 year of inactivity.

Can I assign Shopify sales reps to territories?

No. Native assignment is a manual per-company-location mapping, capped at 10 sales staff per location, with no territory, auto-assignment, quota, or commission concept in Shopify's documentation. The Sales Rep Toolkit scopes accounts by territory and assignment so reps see their book and nothing else.

Can a rep see reporting for only their own accounts?

No. Location scoping applies to just four admin pages (Customers, Orders, Draft orders, Companies), and Shopify warns against granting reps Analytics, Marketing, or Home because those pages show unfiltered store-wide data.

Are rep actions audit-logged on Shopify?

Only in fragments: per-order Timelines, a store activity log capped at 250 visible results with no export, and a login history of the 5 most recent sessions. There is no unified record of rep activity, which is why the Sales Rep Toolkit logs every impersonation session action in one trail.

Is Shopify's native sales staff feature Plus-only?

No, sales staff permissions are available on all Shopify plans, though staff account counts may be limited by plan. B2B Supercharge itself is built on Shopify's native B2B foundation, which is a Plus feature.

What exactly does the Sales Rep Toolkit include?

Four things: login as customer with policy-controlled sessions, rep-built carts with IDs that hand back to the buyer as links, territory scoping, and a complete audit trail of every rep action. It is one of five modules that switch on independently over the free base platform.
